What happens when someone calls your HVAC company after hours

A practical guide for heating, cooling and plumbing companies: what callers need to hear at night, your options for answering, and a script you can use tonight.

A furnace does not wait for business hours. When it quits at 9 pm in January, the homeowner picks up the phone and calls whoever they found first. What they hear in the next thirty seconds decides whether they wait for you or call the next company on the list.

What an after-hours caller actually needs

  • To know they reached the right company, and whether you cover their area.
  • A safety step if it is dangerous: if they smell gas, leave the building and call 911 or the gas company from outside.
  • An honest answer about when someone will call back or come out, and what an emergency visit costs if you publish that.
  • A way to leave the details once, so they are not asked twice in the morning.

Your four options

  • Voicemail. Free, but it only works if the caller leaves a message and you check it. Make the message short, give the safety line first, and say when you will call back.
  • An on-call phone. Someone on your team carries the line at night. Reliable if you have the people, and hard on them over a long season.
  • An answering service. A person takes a message and can page your on-call tech. Ask for per-call and per-minute pricing at your volume, and how they handle emergencies.
  • An AI receptionist. It answers when nobody can, gives the safety step, checks your service area, takes down what dispatch needs and hands your team a finished request. It should say it is an AI, and it should never promise a time you have not approved.

Otherwise, leave your name, number, address and what the system is doing, and we will call you back first thing in the morning. If you have no heat or no cooling, say so and we will put you at the top of the list.
