Privacy policy

This policy covers this website, run by MAE-AI Solutions, LLC in Midlothian, Virginia. It says what we collect, why, who handles it for us, and how long it is kept. The short version: we use what you share to answer you and do the work you ask for. We don't sell it, we don't use it for advertising, and we don't share it beyond the services named below that run parts of this site.
Business Desk and client workspaces
Microsoft sign-in identifies authorized workspace users. We store business contact details, project and task notes, business facts, website drafts, and publication history in Azure storage to deliver and manage the service. Private records and drafts require account access. Website content becomes public when an authorized owner publishes it. Publishing receptionist facts can send those approved facts to ElevenLabs when that integration is configured. Contact us to request access changes or removal of workspace records.
When you contact us or book a call
If you call or email us, we get what you send: your number or address and your message. If you book a call through the scheduling button, you give Calendly your name, email and any answers on the booking form, and Calendly passes them to us. We use this only to reply and to do the work you ask about.
The AI assistants
Every AI assistant on this site runs on ElevenLabs. That includes the site assistant, the IT help desk, the staff-manual assistant and the fictional business demos. The demos do not send inquiries to a real business, but MAE can review their conversations. What you type, or say if you use voice, is sent to ElevenLabs to answer you. Voice conversations are recorded.
We can review conversations to see how the assistants are doing and fix what they get wrong. The provider settings we checked do not enable audio or transcript deletion. An automatic deletion deadline has not been verified, so conversations may remain stored beyond 30 days. We don't use them to contact you, and we don't add them to any mailing list. Please don't type passwords, codes, card numbers, or health or legal details into any of them.
The IT help desk
The help desk also looks up your question in Microsoft's public documentation (Microsoft Learn) to answer it. If it suggests a hand-off, it shows you a message to send us by email or text. That handoff is not sent unless you send it; the conversation itself is processed as described above. The public desk gives each visitor 3 free questions and keeps that count in your own browser (see below).
The client dashboard
Businesses that run their website or AI receptionist through us sign in to a dashboard to edit their business facts and to see how their receptionist is doing. Signing in uses your Microsoft account through Azure; we store your email address, your name, and which business you belong to. The dashboard shows that business's own receptionist summaries and sampled transcripts, read from ElevenLabs while available. Report date ranges do not set how long the provider keeps data. Authorized staff for that business can read these records, and so can MAE, to keep the receptionist working. If you call a business that uses our receptionist, that business's own privacy policy applies to what you tell it.
Analytics
With your permission, we use Microsoft Clarity to see how pages are used: what gets clicked, how far people scroll, and masked recordings of page interactions. It helps us find what's confusing and fix it. Clarity only loads after you accept analytics and uses cookies to do this. We configure masking on chat windows, free-tool pages and private workspace content to hide their text from Clarity recordings. This does not prevent messages you send to an AI assistant from reaching its provider. Microsoft handles analytics data under its privacy statement.
The free tools
The tools under /tools process questionnaires and resume files in your browser; the tools do not upload those inputs to our server. Optional page analytics are described above. If you separately send information to the site assistant, the AI-assistant section applies.
Callback and automation demonstrations
Saving a demo request sends the supplied fictional selections and a random request key to our server. Our Azure-hosted automation passes that sample to a demonstration inbox. We store the sample, its receipt and timestamp so you can check the result and retry without creating another record. These demonstrations do not send a message to staff or make a booking. To limit abuse, the demo server also stores a hashed network identifier and request counters. A counter's hourly reset does not delete the stored record. Contact us about removal using the details below.
The AI CMS (“Tell it what changed”)
When you type a change into the AI CMS, on the managed-websites demo or in a client workspace, the text you typed and the business's current hours and published statements are sent to TypeSafe, whose Jev model returns a judgment about what changed. On the demo those facts belong to a fictional business. We do not store the demo text. To limit abuse, the demo server stores a hashed network identifier and request counters. Do not type personal or sensitive information into the demo.
Connecting a client's Facebook Page
If a client connects a Facebook Page they manage so their own website stays current (this connection is not available yet), then with the client's permission we read that Page's posts and photos through Meta's official API, and only to draft updates to that client's website. Nothing is published until the client approves it. We never post to Facebook, never read private messages, and never access Pages the client does not manage. Drafts and the connection token are kept for 30 days at most and are deleted the same day the client disconnects the Page. To have this data removed, email [email protected].
Text updates for website clients
Text updates are not available yet. When they launch, a client will be able to opt in, in writing, to update their website by text message (see how text updates will work). We do not sell mobile numbers. We do not share mobile numbers, or the consent a person gave to be texted, with third parties or affiliates for marketing or promotional purposes. We use a mobile number only to receive that client's website updates and to text back about them.
For a client who has opted in we store the mobile numbers they gave us and the signed consent, for as long as they are a client. Texts will be carried by Twilio and the mobile carriers, who handle the number, the message and any photo in order to deliver them. We keep a log of each text for 90 days: the number, the time, and what happened to it. The words and photos of an update become a draft for that client's website and are kept with the site's update history. If a text comes from a number we do not recognise, we keep its words for 90 days so a person can check it, and we do not reply. When a number replies STOP we keep a record of that for as long as we could otherwise text it, so that we never do. To have a number or its messages removed, contact us using the details below.
The badge in our footer
The small “checked by Jev” badge in our footer is an image loaded from madewithjev.com, so your browser asks their server for it and they can see your IP address, like any website you visit. We send them nothing else.
Cookies and storage
Our analytics consent does not grant advertising storage. We save your analytics choice in your browser and treat that choice as valid for 180 days. Use “Cookie settings” on any page to change it; rejecting after acceptance reloads the page to stop the recorder. Calendly loads when you open booking and has its own privacy controls. The help desk also stores its free question count. Callback demos keep sample choices, request keys and receipts in browser session storage so you can check an earlier save. Clearing browser data removes this local state; it does not delete records already stored by us or a provider.
Hosting
The site is hosted on Microsoft Azure, which handles the ordinary technical data every website receives (such as your IP address and browser type) in order to deliver pages.
Your choices
You can ask us what we hold about you, or ask us to delete it, including an assistant conversation that is still held by us or our provider. Email [email protected] or call (804) 391-0234. This site isn't meant for children and we don't knowingly collect information from anyone under 13.
Changes
If what the site does with information changes, this page changes with it, and the date at the top will say when.
