§1.1 Gas odor on arrival: If you smell gas when you arrive, do not operate switches, thermostats or appliances. Get everyone out of the house, then call the gas utility emergency line from outside. Call the service manager once the customer is safe. Do not re-enter until the utility clears the building.
§1.2 Carbon monoxide: Run the combustion analyzer on every gas furnace service. Ambient CO above 9 ppm in the living space: shut the appliance off, open windows and tell the customer why. Above 35 ppm, or anyone reporting headache or nausea: get everyone out and call 911. Red-tag the appliance and photograph the tag.
§1.3 Attic heat: When the attic reads above 120°F, work 20 minutes in and 10 minutes out, and drink water on every break. Two-person rule above 130°F. Stop work and call the service manager if you feel dizzy or stop sweating.
§2.1 Refrigerant handling: Only EPA 608 certified technicians recover or charge refrigerant. Never vent. Record every recovery in the recovery log in the job app: refrigerant type, pounds recovered, cylinder number. Full recovery cylinders go back to the warehouse on Friday.
§3.1 Parts approval: Use truck stock first and add every part to the job in the app. Any single part over $250 needs the service manager's approval in the app before you install it. Warranty parts: photograph the model and serial plate before removing the old part.
§3.2 Restocking the truck: Submit the restock list in the app by 3pm Thursday. The warehouse lead loads it Friday morning. Emergency parts during the week: call the warehouse lead, do not buy retail unless the service manager approves it.
§4.1 Quoting at the door: Quote repairs only from the flat-rate book in the app, and get the customer's signature on the price before work starts. The $89 diagnostic ($149 after hours) is credited to the repair. Comfort Club members get 15% off repairs. Any other discount needs the operations manager's approval.
§4.2 Replacement leads: Do not quote equipment prices. If the system is over 12 years old or the repair is more than half the cost of replacement, offer a free replacement estimate and book a comfort advisor in the app.
§5.1 Callbacks and recalls: A return visit within 30 days for the same problem is a recall: no diagnostic charge, mark the job "Recall" in the app, and note what was done the first time. The operations manager reviews every recall on Monday.
§5.2 Closing out a job: Before leaving: before-and-after photos, the signed work order, and the invoice sent from the app. Take payment on site when possible. Leave the thermostat set where the customer had it.
§6.1 On-call rotation: On-call runs Friday 7pm to Friday 7pm, rotating weekly. Answer dispatch within 15 minutes. Gas odor and no-heat calls with infants, elderly or medical needs go first. Log after-hours time in the app as "On-call".
§6.2 Vehicle incidents: Any accident or damage: make sure everyone is safe, call 911 if anyone is hurt, photograph everything, and call the service manager before leaving the scene. Do not discuss fault with the other driver.
